Meeting Cadence

Async-first. Agents post outputs to Slack; the team reads and acts without needing a meeting. Meetings exist only for decisions that genuinely require real-time discussion.


Weekly All-Hands

Who: All humans (Terry + teammates)
When: Monday, 30 minutes
Where: Call or in-person
Prepared by: Terry reviews Slack channel activity before the call

Agenda

  1. Shipped last week - what dev or consulting work landed
  2. Sales pipeline - stage changes, new leads, follow-ups needed
  3. Budget check - any overspend or surprises in #finance
  4. Blockers - anything that needs a decision right now
  5. Priorities this week - top 1-2 items per person

Rules

  • No status updates that are already visible in Slack; skip them.
  • Decisions get logged in the relevant wiki page immediately after the call.
  • If the agenda is empty, cancel the meeting.

Monthly Company Review

Who: All humans
When: First Monday of each month, 60 minutes
Where: Call or in-person

Agenda

  1. Monthly financials - finance: budget summary for [last month] run before the call; Terry walks through actuals vs target
  2. Projects review - status of each active dev and consulting project
  3. Sales review - pipeline health, conversion rate, and what is working in outreach
  4. Startup readiness - review Startup Readiness; mark top gaps as ready, partial, or missing
  5. Retrospective - one thing that worked well, one thing to improve
  6. Goals for next month - top 3 company priorities; who owns what

Outputs

  • Update wiki/overview.md with current company state.
  • Log any strategic decisions in wiki/company/_knowledge.md.
  • Post summary to #general.

Everything Else: Async In Slack

Need How to handle
Quick question Post in the relevant department channel
Agent output review Read in Slack or at wiki site; comment in channel
Decision needed fast Tag Terry or teammate in Slack; aim for same-day response
New lead or project Use the relevant workflow trigger, then discuss in channel
Blocker that cannot wait DM directly; do not create a meeting for it

What Does Not Need A Meeting

  • Agent outputs; review async in Slack.
  • Routine expense logging.
  • Research summaries from Scout.
  • Status updates visible in wiki or Slack.
